Outlook reminders are notifications delivered by the Outlook app. They lose to Silent Mode and Focus, and they also depend on the app being installed and refreshing. An alarm scheduled from the account avoids all of it.
Outlook on iPhone has an extra layer that Google does not: the reminder is generated by the app on your device rather than pushed from the calendar. That adds two failure modes on top of the usual notification problem, and both are invisible until you miss something. The notification problem underneath all of this is set out in the fuller explanation of why calendar reminders do not wake you.
What are the five causes?
The first two are shared with every calendar. The last three are specific to Outlook and Exchange.
- Silent Mode is on. Notification sounds are muted system-wide. No Outlook setting overrides it.
- Focus is on. The banner may never appear, so there is nothing to notice.
- The Outlook app is not installed or not signed in. Reminders come from the app. Read the calendar elsewhere and none are delivered.
- Background App Refresh is off for Outlook. The app may not see a new meeting until you open it, so the reminder never fires.
- The meeting came from Teams with reminders disabled. Common for large invitations. Nothing on your phone was ever scheduled.
Why does Exchange make this worse?
A work calendar changes more often and is edited by more people. Organisers move meetings, rooms get reassigned, and series get updated in bulk. Each change re-issues the event, and whether a reminder survives that depends on how the organiser set it up rather than on your preferences. More on that in Teams meeting reminders that never show.
This is the practical difference from a personal calendar: on a work account, you do not control the settings that decide whether you get warned. There is a fuller walkthrough in connecting Google Calendar to iPhone alarms.
Which fix survives all five causes?
Read the calendar from the account rather than from the app, and schedule a real alarm with your own lead time. That is what happens when you connect an Outlook or Exchange calendar to Pealo. It removes the dependency on the Outlook app, ignores per-meeting reminder settings you did not choose, and gives you a sound that Silent Mode and Focus do not touch.
| Handled by | Needs the Outlook app | Rings on silent |
|---|---|---|
| Outlook reminder | Yes | No |
| Pealo alarm | No | Yes |
One thing to check with a work account
Some organisations restrict third-party access to Exchange calendars. If sign-in fails or loops, an administrator may need to approve the app once. This is a standard Microsoft consent screen, not a special arrangement, and it is a read-only calendar permission.
Outlook reminders that actually ring
Connect your Microsoft account and Pealo arms the alarms from there.
